Free rota maker

Build next week's staff rota right here: add your team, tap a day to add a shift, and see each person's hours as you go. A rota generator for the repetitive part, with UK rest checks built in.

How to use the rota maker

  1. Add your team. Use Add employee under the grid, with the role each person works. Click a name to rename someone, change their role or remove them.
  2. Add shifts. Click the + on an empty day. Pick start and end times, the role and the unpaid break; paid hours are worked out for you. A finish earlier than the start runs past midnight, and Add another makes a split shift.
  3. Fill the week in one go. Press Select, click the shifts to copy and press Copy, then click the cell where the first one should land. The block keeps its shape, so a week pastes as a week. Drag any shift to move it, and Undo takes back the last change.
  4. Check it. Warnings above the rota flag a shift that starts less than 11 hours after the person's last one, a shift of over six hours with less than a 20-minute break, and anyone over 48 hours in a week. Switch to Month to see the whole month at once.
  5. Print or download. Create a free TimeTally account to print the rota for the staffroom or download it as an Excel file. Your team and shifts come with you.

What a good staff rota includes

Names down the side, days across the top, and a start, finish and break for every shift. That much is any rota. A good one also shows each person's total hours, so contracted hours and the 48-hour average stay in view, and how many people are on each day, so you can see a thin Saturday before it happens.

Then the rules. Adult workers are entitled to 11 hours' rest between working days, so a late close followed by an early open is the most common mistake on a hand-made rota. Anyone working more than 6 hours a day is entitled to an uninterrupted 20-minute break, and everyone gets 24 hours off a week, or 48 hours a fortnight. The GOV.UK guide to rest breaks has the exceptions.

Want a file to keep instead? The free staff rota template is an Excel sheet with the same checks and four worked examples, and our guide on how to make a staff rota walks through cover, contracted hours and leave step by step.

When a rota needs to do more

A rota on paper or in a spreadsheet stops at the plan. In TimeTally the same grid is the online rota planner your team uses: you publish the week and staff see it on their phones, approved leave shows on the rota before you put someone on, colleagues can ask to swap shifts for you to approve, and clock-ins become timesheets you can export to Xero, QuickBooks or CSV.

Frequently Asked Questions

Is this rota maker free?

Yes. Building and editing a rota is free and needs no account. Printing it, or downloading it as an Excel file, asks you to create a TimeTally account first: a 14-day free trial with no card, then £3 per employee per month if you carry on using TimeTally. Your team, their roles and every shift come with you, so the rota is already in TimeTally when you sign up.

Can it generate a rota automatically?

It does the repetitive part, not the deciding. Select shifts and copy them anywhere: one shift across the week, a day onto another day, or a whole week into the next. Drag a shift to move it to another person or day. It won't choose who works when; you do. It then checks the result: shifts that start less than 11 hours after the previous one are flagged, and so is a shift of over six hours with less than a 20-minute break.

Where is my rota saved?

In this browser, on this device. Come back on the same browser and it's still there. Clearing your browsing data deletes it, and it isn't shared with anyone.

Does it work on a phone?

Yes. On a phone the rota shows the week, with the grid scrolling sideways; tap a day in a person's row to add or edit their shift. Month view, and copying and pasting, are easier on a bigger screen.

What UK rules should a staff rota follow?

For adult workers: 11 hours' rest between working days, an uninterrupted 20-minute break when they work more than 6 hours a day, 24 hours off each week (or 48 hours each fortnight), and no more than 48 hours a week on average, normally over 17 weeks, unless they've opted out. Under-18s have stricter limits. No law sets how far ahead a rota must be published today.

Can my staff see the rota?

Not from this page: create a free account to print it or download it. In TimeTally, staff see the rota you publish on their phones, and can ask to swap shifts with a colleague for you to approve.
