What Should an Annual Leave Policy Cover?
A good annual leave policy removes ambiguity and prevents disputes. It should answer every question an employee might have about their leave — from how much they get, to how they book it, to what happens when they're sick during a holiday. The template below covers all of these.
Key sections your policy should include:
- Entitlement: How many days/hours employees get and how this varies for part-time staff
- Bank holidays: Whether bank holidays are included in or additional to the allowance
- How to book: Notice requirements, approval process, and blackout periods
- Carryover: What can be carried over, caps, and expiry dates
- Sick leave interaction: What happens when someone is sick during annual leave
- Termination: How unused leave is handled when employment ends
For a full explanation of the legal position on each of these areas, see our guides on UK annual leave entitlement, annual leave carryover rules, and bank holiday entitlement.

Annual Leave Policy Template
How to Use This Template
Copy the template above and replace everything in square brackets with your business-specific details:
- Replace [Company Name] with your company's legal name
- Set your actual leave entitlement in [X] days — the statutory minimum is 28 days including bank holidays, or 20 days plus bank holidays
- Choose OPTION A or B for bank holidays (not both) and delete the other
- Set your holiday year dates — common choices are Jan–Dec or Apr–Mar
- Set your carryover limit — many employers allow 5 days
- Review the notice period for leave requests and adjust to your business needs
Once complete, have the policy reviewed by an employment solicitor before distributing — particularly if your workforce includes zero hours workers, part-time staff, or workers in jurisdictions other than England and Wales.
Managing Annual Leave Without a Spreadsheet
A policy is only useful if leave is tracked accurately. Many UK SMEs start with a spreadsheet and quickly hit its limits — errors creep in, balances go out of sync, and year-end becomes a scramble. Annual leave management software like TimeTally automates all of this, giving employees visibility of their own balances and managers a real-time view of team availability.
