Track time off in lieu for shop floor staff, supervisors, and managers. Handle TOIL from peak trading, late-night openings, and bank holiday working — fairly and accurately.
TimeTally keeps TOIL tracking alongside annual leave and retail rota software in one system — so store managers always know their coverage.
Variable hours, peak trading, and high staff turnover make retail TOIL management uniquely difficult.
Christmas, Black Friday, and end-of-season sales push staff to work significant extra hours. Without a system, this TOIL is informal and disputed later.
Some staff get bank holiday TOIL, others don't — depending on who they asked and when. Inconsistent application leads to grievances and staff turnover.
Calculating TOIL against contracted hours is straightforward for full-time staff but complex for part-time workers on different patterns — unless the system handles it automatically.
Managers need to know who else is off before agreeing to a TOIL day — especially on weekends or during peak periods when minimum staff levels are critical.
When staff leave, their TOIL records often go with them. New managers have no history of what was owed to previous team members, creating liability.
One store manages OK with a spreadsheet. Five stores with 50 staff each becomes unmanageable without a proper system for tracking TOIL across the estate.
Retail staff check their TOIL balance and submit requests via the TimeTally app between serving customers. Store managers get an instant notification and can approve or decline — no post-it notes, no texting, no confusion.

Set accrual rates, caps, and expiry periods that match your employment terms. Configure separate TOIL types for standard overtime and bank holiday working — each applied consistently across every store and every employee.
Pair TOIL management with retail rota software and retail leave management for complete store workforce control.
Useful for retail teams: Create a 'Bank Holiday TOIL' type (e.g. 2:1) with a 6-month expiry — ensuring staff who cover bank holidays are rewarded fairly and the liability is managed over time.

Retail staff log their actual hours in TimeTally. When hours exceed their contracted amount for a week or period, the excess is submitted for TOIL accrual. Managers approve the accrual with the applicable rate — 1:1 for standard overtime or 1.5:1 for Sunday or bank holiday working, depending on your store policy.
Yes. Each employee has their own TOIL balance calculated against their contracted hours. A part-time worker contracted to 20 hours will accrue TOIL when they work more than 20 hours in a week — tracked separately from a full-time colleague contracted to 37.5 hours.
Balances accumulate accurately throughout the peak period. You can set a maximum TOIL cap and an expiry period (e.g. must be taken within 3 months of accrual) to prevent unmanageable balances building up over Christmas and January sales.
Yes. Each manager can approve TOIL requests for their own team with full visibility of who else is off. Head office can review all balances and requests across the whole estate from the same account.
Yes. Zero-hours workers can have their hours logged in TimeTally's timesheet and TOIL accrued when they work above a reference number of hours. You define the policy to match your employment contracts.
No minimum. TimeTally works for a single independent shop with three staff or a retail chain with hundreds of employees across multiple locations — all at £2 per employee per month.
